AVW Shuttle Service
Bus Service: Available from Arbor Vitae–Woodruff Elementary (AV-W) for Day Camp. Select weeks during registration under Additional Options.
Fee: $50 per child/week
Supervision: Camp Jorn staff accompany campers on the bus.

Schedule:

Morning: Load 7:10 AM | Depart 7:30 AM

Afternoon: Depart Camp Jorn 4:30 PM | Arrive AV-W 5:00 PM
Check-In:

Park in designated spot behind the bus/along sidewalk.

Campers stay in vehicles until staff check them in, in order of arrival.
Check-Out:

Remain in your vehicle; staff will verify ID and dismiss campers in arrival order.

Pick-up by 5:30 PM.

Changes (emergencies, weather) will be communicated via email and Facebook.

If not picked up by 5:30 PM and no contact is made, campers return to Camp Jorn for pick-up.

Please have a photo ID ready at pick-up, as counselors will verify that the person is authorized.

Campers will not be released to anyone not listed as an authorized person on the Enrollment Form.

Each day we take several hundred photos of camp in action. We then post some to our social media accounts (check us out on facebook & instagram) as well as use Smug Mug, where we post the bulk of the photos. We will post to Smug Mug every other day throughout the session. Please note that we take many photos each day and while we try our best to get a variety of shots not every camper will necessarily be in a photo each day.

Dietary Needs & Food Allergies

Camp Jorn YMCA is nut-free.

Our kitchen has experience accommodating campers with lactose-free, gluten-free, vegetarian, and vegan diets, as well as a variety of food allergies.

If your child has food allergies or other health-related concerns, please provide this information on your camper’s Health History Form.
Medical, Health, and Illness Procedures
Minor Injuries

For minor injuries, camp staff follow standard first aid procedures.
-
For injuries that may result in a scar or involve the head, face, or mouth, parents will be called as soon as possible.
Serious Injuries or Illness
-
In the event of a serious injury or illness, camp staff will notify parents/guardians immediately to secure permission for medical treatment or pickup.
-
If immediate medical attention is required, staff will call 911 first, then notify parents/guardians.

Health Concerns

Any health concerns listed on the camper’s Health Form (e.g., non-food allergies, ADHD) will be addressed by the Health Officer.

Staff working directly with your camper will be aware of additional needs to ensure safety and comfort.
Ill Child Procedure

If a child shows symptoms of illness or a condition that could affect others (e.g., vomiting, diarrhea), they will be isolated until their parent/guardian can pick them up.

Parents or emergency contacts will be contacted immediately, and the child must be picked up as soon as possible.

Birthday Celebrations

When a camper has a birthday at camp, we celebrate on that day during lunch.

One of our special traditions is having the entire camp sing “Happy Birthday” to the birthday camper!
Friend Requests
Please note that due to large enrollment numbers and limited availability, we are unable to honor day camp friend requests.
Camp is a wonderful opportunity for campers to make new friends. Group assignments are carefully designed to ensure the safety of all children, based on camper-to-staff supervision ratios.

Camper Grouping & Counselor Ratios

Campers are placed into smaller cohorts with 1–2 staff members and 10–12 campers of similar age.

Some age groups may require more than one cohort to best meet the needs of our camp community.

Early Departure
If your camper needs to leave before the scheduled end of the session, please:

You can also notify staff when checking your camper in in the morning.
All campers must sign out in the office if leaving at any time other than the scheduled departure. This ensures their safety and proper supervision.

Summer Food Service Program
Camp Jorn YMCA participates in the Summer Food Service Program (SFSP), which provides FREE nutritious meals to children during the summer when school meals are not available.

Electronics Policy
Camp is a place to connect with people in real and meaningful ways and to enjoy nature’s beauty and unique sounds.

Electronic devices such as cell phones, computers, iPods, and similar devices are not allowed at camp.
This helps ensure that campers are fully engaged in activities, friendships, and the outdoor experience.
Weather & Clothing

Camp is held rain or shine. Campers should dress appropriately for any weather.

We suggest packing a spare set of dry clothing and a raincoat for rainy days.

In the event of severe weather—such as extreme heat, heavy rain, thunder, or lightning—campers may be moved indoors to the YMCA to a safe area. Camp activities will continue indoors until it is safe to resume activities outdoors.

Swimming & Water Safety

All campers will have the opportunity to swim.

Counselors are required to actively supervise their campers during swim time.

No child will be forced to swim if they do not want to.

Campers are required to take a swim test to ensure their safety.

Depending on swim ability, campers may be required to wear a lifejacket.

Health & Illness Policy
For the health and safety of all campers, please do not send your child to camp if they are ill.

If your child is ill and must miss camp, notify the camp by phone or email.

Camp only provides refunds for sick days with a doctor’s note.

If your camper contracts a communicable disease, parents must notify the Camp Director as soon as possible. The Camp Director will inform other participants in writing.
Guidelines for Returning to Camp:

Health & Safety Notes:
If your child has any conditions requiring special care — such as anaphylaxis, severe asthma, seizures, Type 1 diabetes, gastrointestinal disorders, motor disorders, ADHD, autism, cognitive disorders, or other exceptional health conditions — please contact our CEO, Katy Bost, at Katy@campjornymca.org as soon as possible. This will allow us to review your camper’s health history and treatment, and determine if Camp Jorn can safely meet their needs.
Lost & Found

Label all personal items clearly with your camper’s full name.
-
If your camper loses an item, please contact the camp office as soon as you notice. If the item has been found, we will work with you to return it.
-
Unclaimed items are stored for two weeks. Due to the high volume of lost and found items, Camp will not send notifications regarding lost items. Claiming items is the responsibility of the camper or family.

The Y is not responsible for lost or stolen items.
Injury & Emergency Procedures

Campers are well cared for. All camp staff are First Aid & CPR certified.

If an injury requires more attention than staff are trained to provide, the following steps will be taken:

Call 911 and provide immediate first aid.

Contact parents or emergency contacts. If they cannot be reached, staff will proceed with emergency care.

If emergency transport is required, a staff member will accompany the child to the hospital and remain until a parent/guardian arrives.

Behavior Expectations & Discipline
Campers are expected to follow camp rules and behavior guidelines. Examples of unacceptable behavior include:

Fighting or bullying

Refusing to follow behavior guidelines and rules

Use of profanity, vulgarity, or obscenity
-
Stealing or damaging personal or camp property
-
Refusal to participate in activities or cooperate with staff
-
Leaving the program area without permission
Important: Camp Jorn reserves the right to send a camper home without a refund if consistent misbehavior negatively affects the experience of other campers or camp programming.

Termination & Withdrawal
Parent-Initiated Withdrawal
-
A two-week written notice is required if a parent decides to withdraw their child from the program.
-
The YMCA will return all fees except the deposit.
-
After two weeks, refunds are not available, and parents are responsible for payment.
Mutual Termination
-
If both parents and staff agree that a child’s placement in the program is not appropriate or in the child’s best interest, the child may be withdrawn with loss of deposit.
Camp-Initiated Termination
A parent may be asked to withdraw their child when:
-
It is evident that the child cannot adjust to the program’s environment.
-
A child’s behavior becomes detrimental to other children or staff.
-
A parent/guardian fails to complete and submit required forms.
-
A parent/guardian fails to pay fees.
-
A parent/guardian fails to observe program regulations, including arrival and departure rules.
-
Approval: Camp termination must be approved by the Camp Director.
-
Refunds: Withdrawal under camp termination is without refund for the current week and all deposits.
-
Cancellation/Refund Policy
We understand that schedules can change. Any changes to your camper’s session must be submitted in writing to the camp office. We will do our best to accommodate changes based on availability.

Deposit: The $30 deposit is non-refundable. It may be transferred to another Day Camp or Sprout session based on availability.
-
Balance: The remaining balance is refundable if cancellation occurs at least 2 weeks before the session start date. Exceptions may be made for medical reasons.
-
Cancellation due to misconduct: Camp Jorn YMCA will retain 100% of the session fee.
-
Single-day absences or illnesses: Campers are not eligible for refunds or credits for partial or single-day absences or illnesses.
